Each person owns their score. The manager never sees it.

A SignalCheck records how a person responds in demanding workplace situations. This page explains what is collected, who sees it, how long it is kept, and what a leader receives instead. It is written for procurement and legal review.

Who sees what

The four promises

01

Each person owns their score

The report belongs to the person who was assessed. They receive it in full.

02

You receive the map, not the ranking

The leader receives the team pattern map. It shows where the patterns sit across the group.

03

No individual scores go to a manager

Not on request, not in the debrief, not ever. That is what makes people agree to be measured honestly.

04

Everyone is told before they join

Every participant knows what is collected and who sees it before the session starts.

Why it is built this way

The policy is the reason the diagnostic works

An engineer will not speak honestly under pressure if they believe the recording becomes a performance review. So the individual owns the result, and the leader receives patterns across the group. That is not a limitation offered reluctantly. It is what makes the data worth having.

05

What is collected

A team diagnostic collects: the participant’s name and work email, for scheduling and report delivery; the session recording and its transcript; and the scored report produced from them. SignalCheck limits collection to the information required to deliver, review and administer the engagement. No personality profiling, no background checks, no data from the employer’s systems.

06

Who sees what

These rules are set out in full on page 13 of the system guide, alongside what each stage produces and who receives it.

Access to each item produced by a team diagnostic.
Material Participant Leader and HR SignalCheck reviewers
Session recording and transcript On requestNeverYes, to review the report
Individual scored report Yes, in fullNeverYes, to review it
Team pattern map On request to the leaderYesYes
Debrief and movement report Summary availableYesYes

The map is produced only for cohorts of eight or more. Dots are never labelled and never ordered by an identifiable attribute. For teams below eight, you receive a band chart instead. It shows no individual points. Leader debriefs discuss patterns, never named people.

07

Where it is stored

Collection Secure storage Review Report delivery Retention Deletion

Recordings, transcripts and reports are stored encrypted at rest and in transit, with access limited to the reviewers working on the engagement. Hosting details, including region, are shared during engagement review, before anything is booked.

08

How long it is kept

Session recordings and transcripts are kept only as long as needed to produce and review the reports, then deleted on a fixed schedule agreed during engagement review. Scored reports are retained so that a repeat SignalCheck can be compared to the first. A participant can request deletion of their own report at any time.

09

Deletion and access requests

Any participant can request a copy of their data, or its deletion, by writing to [email protected] from the email address used for their session. Requests are actioned within 30 days. Deletion of a report removes the individual’s data from any future map recalculation.

10

AI, automation and model training

Team sessions are delivered by the SignalCheck interviewer and transcribed automatically. Scoring follows the SignalCheck methodology, and a trained reviewer reads every report against the session before it is delivered. The reviewer can change the result.

Recordings and transcripts are used to produce and review the participant’s report. They are not used for any other purpose without the participant’s explicit, separate consent.

Details of the service providers involved in delivery, the regions where they process data, and their permitted uses of session data are provided during engagement review.

11

Lawful basis and consent

Every participant is told what is collected and who sees it before the session begins. Nobody is assessed without knowing, and nobody is assessed against their will. A person can withdraw, their session data is deleted, and they simply do not appear in the cohort. Participation is always the person’s own choice, never a choice made for them by an employer. The lawful basis for processing under UK GDPR, and under other regimes such as Taiwan’s Personal Data Protection Act, is agreed and documented during engagement review, before anything is booked.

12

What the scores may be used for

SignalCheck is built for development and team-level insight. It is not built for hiring, promotion, performance rating, disciplinary action or dismissal decisions. Individual scores must not be used for any of those purposes.

No hiring, promotion, performance-management, redundancy or disciplinary decision may be based on SignalCheck or SignalResponse data.

Employer reporting is aggregate under minimum-group rules. Individual reports and debriefs are private to the individual.

Meeting observation happens only under access, notice, retention and reviewer rules agreed before any collection. Observation of meetings involving external customers or non-participants is excluded unless separately approved.

Full procurement documentation is available under NDA.

13

Your internal review

This page is written to be sent onward. If your legal team, union or employee representatives need a clause changed for your jurisdiction, raise it on the first call. The reporting rules above are the floor, not the ceiling. Nothing about an engagement is bespoke-secret: what is published here is what happens.

14

SignalScan

SignalScan is the free two-dimension session. It runs for 20 minutes with an assessor, who talks the result through with you in the session. It collects the same material as a full SignalCheck: the session recording, its transcript, and the scored result. It is covered by the same promises, the same retention schedule, and the same deletion route as everything else on this page.

A SignalScan is booked through our scheduling provider, Calendly, which collects your name and email address at the point of booking so the session can be arranged and confirmed. Role and company are optional. Marketing contact is a separate, unticked choice that can be withdrawn at any time.

Send this page to procurement first.

The same rules apply on both routes. If a clause needs to change for your review, say so on the call.

For a team or organisation

Thirty minutes on your team: what the sessions involve, what each person receives, and how the results turn into development. Bring a real situation and we will show you how the method works on it. If it is not the right fit, we will say so.
